How much money does a Houston business lose by not answering the phone?
Most owners know they miss calls. Very few have done the math. Here is a simple way to do it with your own numbers, and what you can do about it this week.
The math almost nobody does
You only need three numbers: how many calls you miss per week, how many of those people would have bought, and your average sale.
Example: if you miss 5 calls a week, 3 out of 10 of those callers were ready to buy, and your average sale is $60, you are leaving about $390 a month on the table. That is close to $4,700 a year, from a single habit.
Those numbers are only an example. Yours may be higher or lower, and that is exactly why it is worth checking.
Why calls get missed (even in good businesses)
- Rush hour: the kitchen, the shop or the front desk is full and nobody can step away.
- After hours and weekends: many customers call when they finally have time, which is when you are closed.
- Language: a customer who speaks Spanish calls a business that only answers in English, or the other way around.
- The owner is the one answering: and the owner is also the one serving, fixing or driving.
What a customer does when nobody answers
Very few leave a voicemail. Most go back to Google and call the next business on the list. The sale is not lost forever: it simply goes to someone else.
That is why a missed call is not a small thing. It is a customer who already wanted you and ended up with your competition.
The same math, by type of business
With the same example (5 missed calls a week, 3 out of 10 ready to buy), changing only the average sale:
| Business | Example average sale | Per month | Per year |
|---|---|---|---|
| Restaurant | $35 | $228 | $2,730 |
| Hair salon or spa | $70 | $455 | $5,460 |
| Dental office (new patient) | $250 | $1,625 | $19,500 |
| Home services | $250 | $1,625 | $19,500 |
| Law firm (consultation) | $300 | $1,950 | $23,400 |
| Auto repair shop | $350 | $2,275 | $27,300 |
Example figures, not a promise. Use your own numbers in the calculator.
How to stop losing them (without hiring more people)
- Forward calls to a cell phone: it helps, as long as someone can always pick up.
- A good voicemail message: better than nothing, although most people hang up.
- An answering service: a person answers for you, usually by the minute.
- An AI receptionist: it answers every call, day and night, in English and Spanish, takes the order or the appointment and sends you the details. It works alongside your team: it picks up when everyone is busy, so nobody has to drop what they are doing.
